Listen to the reason for the override

An operator rejecting a suggested destination may be exposing a blocked location, inaccurate capacity, unsuitable equipment, or a rule that ignores the physical process. The override is not automatically evidence of poor discipline. Capture a meaningful reason and connect it to the item, location, task, and time. Then distinguish legitimate exceptions from shortcuts that bypass required controls. Both deserve attention, but their remedies are different.

Check whether the recommendation was executable

Review the destination’s actual dimensions, available capacity, load restrictions, access, and current condition. Compare those facts with the WMS record. A location can be technically eligible while practically unusable because a physical obstruction or unrecorded pallet consumes the space. Check whether open movements and pending quantities were considered. Correcting the decision inputs can be more effective than repeatedly telling operators to follow a recommendation that cannot work.

Protect the alternative destination

An exception path still needs controls. The chosen location should preserve inventory identity, status restrictions, traceability, and equipment suitability. Decide which alternatives operators may select themselves and which require supervisor approval. Confirm the physical move and record its actual destination. Allowing an unrestricted override can solve today’s putaway task while making tomorrow’s replenishment or picking work unreliable.

Look for patterns across time and product

Group overrides by reason, destination type, item family, shift, and receiving profile where the data is meaningful. A cluster may reveal incorrect dimensions, a temporary congestion period, or a mismatch between reserve and forward-stock strategies. Discuss the findings with operators who handled the work. A reason code identifies a category, not the complete causal explanation; direct observation helps prevent an attractive but incorrect conclusion.

Change the rule with a testable hypothesis

State what the proposed change should improve and which constraints must remain intact. Test representative inventory and exceptions before broad release. Afterward, compare override patterns and downstream effects such as replenishment distance or pick availability. Reducing overrides is not the only objective: the new placements also need to support the complete warehouse flow. Keep the accepted reasoning visible for the next configuration review.
